Integral Quality Program At DataXport we understand that for our services to be of
value to our customers, the quality of our data must be excellent.
To consistently accomplish quality levels of 99.975%, we have
established an Integral Quality Program that consists of the
following steps: Planning
Regardless of the size of the job, DX uses a very methodical
approach to understand and evaluate the scope of each
project. Every job starts with a customized questionnaire
that allows us to gather specific information such us
volume, type of documents, search requirements, indexing
fields and delivery of data to mention a few. Customer's
information helps us identify opportunities to minimize
manual labor, create validation tables, and program field
edits to avoid preventable errors.
Training and Documentation
T
& D are essential for any project to be permanently
successful. At DX we strongly believe that well trained
personnel who understand the purpose of their function, the
consequences to the end user of providing excellent or poor
quality data and who regularly receive objective feedback of
their work will produce superior quality on a consistent
basis. Furthermore, when classroom training is complemented
with easy to understand material such as updated manuals,
visual aids, periodic evaluations (particularly after a
process has been modified), and attention to detail; tasks
becomes easier and hence better accuracy rates.
Pilot Testing
The best way to determine if the desired level of accuracy
has been achieved is by processing a representative sample
of data with the actual personnel which will be assigned to
this particular area. After completion of such process, 100%
of the data will be quality checked to determine the
effectiveness of the training sessions as a group or at an
individual basis. For instance, depending on the type of
error and the number of individuals repeating it, one can
conclude whether the error can be attributed to not
understanding, negligence or just lack of practice.
Depending on the complexity of the project coupled with the
results of the quality verification during this stage, will
determine the number of pilot runs necessary to move into
the production phase.
Production
The first step in this phase is to implement as many system
validations and job specific edits. For instance, Cap
Smart , our data capture application can be set up to
check for a specific check digit routines, look up against a
zip code table, restrict field to alpha or numeric only,
specific number of digits and many more. Cap Smart
allows us to turn on as many fields as needed for double or
triple keying by a different person when required. Moreover,
all personnel in the operations department is paid through
an incentive programs that takes into account the quality
achieved by each person
Quality Statistics
Although we at DX are confident that our approach to
achieving quality data is the correct one, we rather see our
report card before anybody else. Therefore, as part of our
IQP we have a predetermined set of metrics that we
continuously monitor in order to provide timely feedback to
our personnel, learn from the information gather during the
Q.V. process and come up with ways to improve our overall
quality. Internally, this step closes the loop to our
Integral Quality Program for processing services. However,
we also ask our clients to provide us with feedback to
incorporate such input our IQP.
