Frequently Asked Questions

Document Web Storage

>> What if Internet connectivity fails?

DX will always provides a copy of all images on CD or DVD as backup for instances in which the immediate need to retrieve data coincides with a technical failure.

>> How do I find documents on DX Document Web Storage?

The file structure and indexing fields are determined by the user, thus searching for your document is just like retrieving a file from your PC.  Request demo login

>> Is the cost dependant on the number of users or images retrieved?

No. DX pricing is based on space utilization on a monthly basis and not on retrievals or number of users.

>> What PC requirements are necessary to view on-line documents?

All one needs is a basic PC with access to the internet.

>> What if one would like to see how it works in more detail before determining if this service is appropriate for my business needs?

A simple but illustrative demo is available by using the following: User ID > Demo Password > Demo. Should you have additional questions or would be interested in a pilot tryout, please feel free to contact us.

On-site Scanning

>> How does it work?

In essence, we replicate the complete scanning process that we have in place in our office by utilizing the same hardware, software, quality procedures, and most importantly, qualified expertise.

>> Is On-Site scanning more expensive?

Not necessarily. As mentioned before, every scanning project is different and we would have to evaluate the requirements and specifics of the project before stating whether on site scanning would be more costly than in our office. In general, larger projects tend to eliminate or minimize any difference in price between the two options.

>> What does it entail for an organization which decides to do On-Site scanning with DX?

Basically, to assign a secure and reasonable work area where the different tasks associated with the conversion process will be performed. Additionally, to allow DX personnel access to the designated work area based on a predetermine schedule.

>> What if an organization allows DX to copy or up load information directly to our system?

Not an issue. We can connect to a predetermined directory of your network for the sole purpose of transferring the converted digital images.

Forms Processing

>> How do I know if OCR is a feasible option to extract data from my documents?

The only way to find out is by evaluating the source document and running a readability test. However, variable such as: standard forms, computer printed documents, physical condition of documents and legibility, will determine whether OCR is a viable option or not.

>>  What is the main benefit of using OCR?

Reduces data capture cost and improves the quality of the data.

>>  What if I need to add or eliminate a data field?

Just let us know the specific field (s) and time of implementation and we would make the necessary modifications to reflect your new requirements.

>>  What if the form changes or is completely redesigned?

In either case, DX can adapt to the changes provided reasonable time is given for modifications and testing.

Data Capture

>> How do you price Data Entry Services?

Since every project varies in terms of difficulty and the amount of data to be captured, we evaluate primarily the following variables to determine pricing: Number of keystrokes/fields to be captured, if the documents are suitable for OCR readability, legibility of documents, if there is a key what you see or decision making by operator, or the proportion of alpha and numeric fields.

>> What if the work requires handling and material preparation prior to the data entry process?

DX will perform the necessary pre-processing functions based on customer specifications.

>> What output formats does DX manage?

DX can provide a wide range of output formats. Listed below is a sample of the formats in which we can deliver data:

  • Database Format

  • Access Format

  • Text Format

  • HTML

  • ASCI
